How does the media library work and how is it organised?
The media library- accessed via Assets in the control panel- is where all files uploaded to the CMS are stored and managed. Images, PDFs, documents, and other file types are held here and can be reused across multiple entries without uploading them multiple times.
Volumes
The media library is organised into volumes- top-level containers that group related file types or purposes together. You may see separate volumes for images, documents, and other media depending on how your site is configured. When uploading a file or selecting an asset from within an entry, you will be working within a specific volume.
Folders
Within each volume, files can be organised into folders. Use folders to keep the library manageable as it grows- grouping images by year, by section, or by content type, for example. A well-organised media library makes it significantly easier to find and reuse existing assets rather than uploading duplicates.

Because assets are stored centrally, the same image or document can be used on any number of entries without duplicating the file. If you update a file- for example, replacing a PDF with a revised version- the updated file will be reflected everywhere it is used across the site. Note that replacing a file changes it everywhere it appears, which can cause issues if the same file is used in multiple contexts.
