Why can some users publish directly while others go through an approval process?
Whether a user can publish content directly or must go through an approval process depends on how their account has been set up and what type of access they have to the CMS.
CMS team users publish directly
Users who have been set up as Content Managers or SEO Managers have direct access to the full CMS control panel. When these users save an entry, it is published to the live site immediately- there is no approval step involved. This level of access is intended for your own team members who are trusted to manage content directly.
Business Login users go through an approval workflow
Users who access the CMS through the Business Login portal- typically business owners or operators within your destination- work through a submission and approval process by default. When a business user finishes editing an entry, they submit it for review rather than publishing it directly. The entry then sits in a Pending Review status until a member of your CMS team approves or rejects it.
This workflow is intentional. It allows business users to contribute and update their own content while your team retains editorial control over what is published to the live site.
Auto-approve: bypassing the approval step for specific businesses
For businesses that are well-established and trusted, the approval step can be bypassed on a per-entry basis using a setting called Auto Approve. When this is enabled on an entry, that business user's submissions for that entry will publish immediately without requiring manual review. The button in their portal will show Publish instead of Submit for Approval.
Auto Approve is managed by your CMS administrators and is not visible to or controllable by Business Login users themselves. If you want to enable this for a particular business or entry, contact your site administrator.
